Create and maintain entities

Create standalone legal entities, update and approve records, review relationships, and export the organization register.

Maintain the organization’s entity register without duplicating a legal identity or overwriting source-owned fields.

Before you begin

You need membership in the intended organization. Prepare the legal name, country, and registration number when one exists. Confirm whether the record is a Carry vehicle, General partner, or Other entity; funds, feeder funds, SPVs, and management companies originate from their source workflows.

Create a standalone entity

  1. Open Carry vehicles, General partners, or Other entities.
  2. Select New carry vehicle, New general partner (GP), or New other entity.
  3. Choose Country.
  4. Keep Search selected, enter Company name or registration number, and select Search.
  5. If the correct result exists, select it. Entities reuses the existing organization identity instead of creating a duplicate.
  6. If search is unavailable or has no correct result, select Enter manually.
  7. Enter Company name and Company registration no., or select No registration number available.
  8. Select Add.

A successful manual creation reports Carry vehicle created., General partner (GP) created., or Other entity created. If the identity already exists under a different type, Entities names the conflict and does not duplicate it.

Update and approve an entity

  1. Open the entity and select Edit.
  2. Update the permitted fields. Legal name, Display name, Registration number, and Country can show Locked to source for source-backed fund or management-company records.
  3. Review Status and Verification status separately.
  4. Select the save action and confirm Updated the entity.
  5. If the entity is Pending review and its details are complete, select Approve.
  6. Confirm Approved the entity and verify that the operational status is now Active.

Entity codes use two uppercase country letters, a hyphen, and four uppercase letters, such as AT-ABCD.

Review relationships and connected features

  1. Open Connected features and inspect each group.
  2. Use Download connected features when a JSON record is required.
  3. Open Ownership structure and use Unfold all for nested shareholdings.
  4. Ask an organization administrator to use Relationships when the organization’s relationship definitions need configuration.

Export the register

  1. Return to All entities or a type-specific list.
  2. Apply Search entities… and filters.
  3. Open the download control.
  4. Choose all or filtered records and CSV, JSON, or XLSX.
  5. Verify the organization, type scope, and filter description before using the file.

Success check

The entity appears once under the correct type, saved fields persist, any approved record now shows Active, and connected-feature, ownership, or export output matches the selected record and organization.

Troubleshooting

  • The new action is missing: direct creation exists only on Carry vehicles, General partners, and Other entities.
  • A result already exists: select it instead of creating another identity. A different-type conflict must be resolved before continuing.
  • A field says “Locked to source”: change it in the source fund or management-company workflow.
  • Update or approval fails: fix highlighted validation errors and confirm the organization in the URL.
  • Entity code is rejected: use the CC-XXXX uppercase format.
