How-toSignatures

Track signing progress

Find an agreement, inspect recipient progress, send an eligible reminder, and verify completion.

This guide checks the signing state of a document you uploaded and, when appropriate, sends a reminder to a recipient who has not completed it.

Before you begin

You need:

  • an authenticated organization-member account;
  • a signature document uploaded by that account;
  • approval to view its recipient addresses and send any follow-up message.

Do not expose recipient addresses, document contents, or access links in screenshots or support messages.

Find the agreement

  1. Open https://signatures.infra.one/your-organization-slug/agreements.
  2. Choose Waiting for others to find agreements with outstanding recipients, or Completed for finished agreements.
  3. Search or filter by the approved document name, sender, entity, or date.
  4. Select View for the intended document. Its URL contains the document ID after /documents/.
  5. Open https://signatures.infra.one/your-organization-slug/documents/your-document-id/invitations with that same ID.
  6. Confirm the document name and the summary in the form “n of total signed.”

The current document viewer does not link to this invitation-status route. Only the document uploader can open it; changing an ID does not grant access to another document.

Review recipient status

Each current invitation row shows a task-facing state:

  • Pending, Sent, or Viewed means the recipient has not completed signing;
  • Signed means the invitation is complete;
  • Cancelled or Expired means the invitation can no longer be used.

The data model also reserves Declined, but the current signer journey does not offer a decline action. Do not instruct a signer to look for one.

For Sign in order, future-stage signers do not have invitation rows until the earlier stage completes. The “n of total signed” summary still counts every required signer assignment, including those future stages.

Send a reminder or cancel

  1. Confirm that the row still offers Send reminder and that follow-up is appropriate.
  2. Select Send reminder once.
  3. To invalidate an eligible outstanding invitation instead, select Cancel and confirm Cancel invitation.
  4. Reload the invitation-status view and verify the expected state.

Reminder and cancellation controls disappear for terminal invitations. Cancelling one invitation does not make a document fully signed.

Success check

The current invitation rows reflect their status, and the completion summary matches the signed count across all required signer assignments. Once all required invitations complete, the document appears under Completed and its underlying state is fully signed.

Troubleshooting

  • If the invitation-status page denies access, sign in as the document uploader.
  • If Send reminder is absent, the invitation is not in a remindable outstanding state.
  • If Cancel is absent, the invitation is terminal or otherwise not cancellable through this view.
  • If an agreement remains Waiting for others, inspect every current invitation row and the signed-count summary rather than relying on one completed signer. With ordered signing, later-stage rows appear only when those invitations are created.
