Prepare and send a signature request
Upload a document, configure recipients and signing fields, preview the result, and send invitations.
This guide produces a sent signature request whose recipients and signing fields have been checked before invitations leave the workspace.
Before you begin
You need:
- an authenticated account that belongs to the organization;
- contact information configured for the organization;
- a documentation-safe PDF, DOC, DOCX, PPT, or PPTX file no larger than 10 MB;
- the intended recipients, their signing order, and an approved email subject and message.
Sending an invitation is an external side effect. Verify recipient addresses before the final step.
Add the document
- Open
https://signatures.infra.one/your-organization-slug. - Select Send document.
- On Agreements, select New agreement.
- In Add documents, upload the approved file.
- Under Associated entity, optionally choose Associated entity/fund.
- Select Next.
If the dashboard shows Complete setup to unlock full functionality, select Set up contacts and complete the required contact information before returning.
Customize recipients and fields
- In Customize, add each intended recipient.
- Enable Sign in order only when recipients must act in the displayed sequence.
- Place the required signing fields for each recipient on the document.
- Check that every field is assigned to the correct recipient and page.
- Continue to the preview or invitation step.
A multi-signer document needs at least one signing field in total before it can open Preview, and every recipient who needs to sign must have at least one assigned field before invitations can be sent. Keep recipient roles distinct when fields belong to different signers.
Send invitations
- On Send invitations to sign, review the document preview and recipient list.
- Enter the Email subject.
- Add an optional Email message that contains no secrets or unnecessary personal data.
- Recheck the recipients, field assignments, and signing order.
- Select Send invitations once.
Success check
The agreement no longer appears as an editable draft. It appears in Agreements under the applicable Action required, Sent, or Waiting for others scope, and its invitation-status view shows the recipients whose invitations currently exist. Action required is expected when the current user still needs to sign. With Sign in order, a future-stage signer does not receive or display an invitation row until the earlier stage completes.
Troubleshooting
- If Send document is disabled, complete the contact setup linked by Set up contacts.
- If the upload is rejected, use a supported format and keep the file at or below 10 MB.
- If preview cannot continue, add at least one signing field and assign it to a recipient.
- If sending reports These signers have no field to sign, return to Customize and assign at least one signing field to every named recipient who needs to sign.
- If a document redirects to a read-only view, it has already been sent and can no longer be edited as a draft.
