Manage an event
Review event details, decide registrations, invite attendees to Meet, maintain the guest experience, and verify communications.
Use the event administration area to keep public details, registration decisions, Meet profile outreach, guests, agenda, and communications in sync.
Before you begin
You must be an organization member or a direct manager of the event. Organization members can manage every event owned by their organization. Direct managers can manage only their assigned events.
Registration changes and attendee messages can send email. Confirm the intended recipient and state before selecting an action.
1. Find the event
- Open
https://events.infra.one/{organization-slug}/manage. - Use Search events… or sort Event title, Status, Date, Organization, or Created by.
- Check My role for Organization member or Direct manager.
- Select the event title or its Manage action.
The manage list includes every event you can manage, even when an event belongs to a different organization from the slug in the current URL.
2. Review and edit the event
- On Details, verify the event’s basics, date, location, registration settings, visibility, and status.
- Select Edit to change those values.
- Select Save.
- For venue or timing changes, answer Notify attendees about changes?. Choose Yes, notify attendees to send the update, or No, don't send notifications to keep the saved change without an email.
Use Managers to assign event managers. That action is available only to members of the owning organization.
3. Review registrations
- Open Attendees.
- Use Search by name or email… and the status controls to find a registration.
- Open Details when you need the attendee’s submitted answers.
- Select Accept or Reject for a pending registration.
- When a registration needs another reviewer, use Assign evaluator. This moves it to Under evaluation until an authorized manager or evaluator decides it.
- Use Status reset to return a decided registration to the pending workflow when a correction is required.
If the event sends tickets, accepting a registration persists the Accepted state, creates its ticket code, and starts the acceptance and ticket messages. Treat the saved state as authoritative even when email delivery is delayed or fails. Use the attendance report download when you need an exported roster.
4. Invite an attendee to Meet
- Open
https://events.infra.one/{organization-slug}/{event-slug}/admin/attendees. This Events route requires permission to manage the Event; it does not require your own Meet profile to be complete. - Read the default Meet column before acting:
- On Meet means the attendee has a completed profile.
- Not on Meet means there is no completed profile; an existing but incomplete profile still has this label.
- Invited today, Invited 1 day ago, or Invited {N} days ago records the latest recorded invitation. On Meet takes precedence over an older invitation timestamp once the attendee completes the profile.
- Check the registration state. The eligible states are Pending, Under evaluation, and Accepted. The action is unavailable when the registration is Rejected or Cancelled, because the email says the recipient is registered for the Event.
- Open the eligible attendee’s row actions and select Invite to Meet.
- Confirm Email {name} an invitation to set up a Meet profile?.
- Check for Invited {name} to Meet and the updated invitation age in the Meet column.
The email uses the subject See who else is coming to {event} and a Create your profile button that links directly to https://meet.infra.one/setup. Events delivers the email before it records the invitation time. If delivery fails, Events does not create or replace the timestamp. If the timestamp write fails after delivery, the old or empty time remains even though the email may have gone out; an unchanged time does not prove that no email was sent.
To repeat a recorded invitation, select Send the Meet invite again and confirm Email {name} the Meet invitation again?. When delivery and the timestamp write both succeed, the resend overwrites the prior timestamp. Events provides no resend cooldown, invitation history, Meet-status filter, or Event messaging-log entry for this action, so verify the recipient and existing relative time before sending again.
5. Manage guests and invitation rights
- Use Register attendees only when an organizer is adding confirmed attendees directly. It creates a new Accepted registration immediately and then attempts the admin-added-attendee email; use the existing row's status controls when that person is already registered. The saved Accepted row is the success boundary.
- Open Guests to review accepted attendees and their additional guests.
- For an event configured to allow only selected attendees to invite, use Grant invitation rights to attendee or Revoke invitation rights of attendee from the attendee actions.
- Use Send invites or Send updates only after checking the recipient set and message.
6. Maintain the event experience
- Use Gallery to maintain public event images.
- Use Agenda to edit sections, blocks, topics, speakers, and moderators.
- Use Email templates to maintain registration, acceptance, and rejection variants before sending them.
- Open Logs and check Event messaging logs after registrations, invitations, decisions, or manual updates. Log types include Registration submitted, Registration accepted, Registration rejected, User invited, Manual update sent, and Event change notification.
Success check
The public event page shows the intended details and permitted tabs. Attendees shows the correct registration and Meet states, and Guests contains only accepted attendance records and their guests. Event messaging logs contains the expected entries for actions that create logs; a Meet profile invitation has only the attendee row’s latest recorded invitation time, not an exhaustive delivery history.
Troubleshooting
- On an individual event administration route, You are not authorized to access this page means the current account is neither an owning-organization member nor a direct manager of that event. On
/{organization-slug}/manage, the same message means the account has no manageable event anywhere. - No manageable events found means the current search or status filter has no matching event. An account with no event-management relationship is redirected before this empty state can appear.
- A non-evaluator deciding an Under evaluation registration receives a confirmation step. Check the assigned reviewer before continuing.
- If an attendee cannot see the venue, agenda, attendee list, or Meet profiles, review both the event visibility setting and the attendee’s current registration state.
- If a Meet invitation reports a race, delivery, or persistence error, do not infer success from the prior column value. Follow Troubleshoot Events and reload the attendee row.
