How-toEvents

Create an event

Create an event as a draft, review its registration and visibility settings, and publish it when it is ready.

Create the event as a draft first, check its public page, and publish it only after its attendee experience is ready.

Before you begin

You must be signed in and be a member of the organization that will own the event. Being assigned as a manager of another event does not grant permission to create events for that organization.

Prepare the event title and description, date or announcement window, venue, country, host email, registration policy, and attendee visibility choices. If you will feature hosts or speakers, add them under Public persons first.

1. Open the event form

  1. Open https://events.infra.one/{organization-slug}.
  2. Select Create event.
  3. Confirm the page heading is Event details.

2. Enter the event details

  1. Under Basics, enter the title, description title, description subtitle, description, and host email.
  2. Review the generated URL slug. Override it only when the public URL needs a different stable name.
  3. Add a co-hosting organization, tagline, or host description when they apply.
  4. Under Media, add the event cover, location image, or tagline icon when those assets are ready.

3. Set the date and location

  1. Under Date & time, choose an Event date mode:
    • Exact date requires start time, end time, and Event location timezone.
    • Exact date, time to be announced requires the date.
    • To be announced requires an approximate month and year.
  2. Under Location, enter the venue name, venue address, and country.
  3. Set Show location to. Choose whether everyone or only confirmed attendees can see the exact venue.

4. Configure people, registration, and visibility

  1. Under Hosts & speakers, add the people who should appear on the event page.
  2. Under Registration, choose whether to Capture user details? and Send tickets after signup/confirmation?.
  3. Set Allow users to send invitations? to the intended invitation policy. Choose Allow everyone to send invitations only when any signed-in visitor should be able to supply recipients and editable invitation content. Otherwise, restrict invitations to accepted or manually selected attendees.
  4. Enter a Signup target only when you want an internal planning number. It is not a hard capacity limit and does not close registration.
  5. Under Visibility & display, decide whether to show the gallery, attendee list, Meet profiles, speakers page, and agenda page.

5. Create and review the draft

  1. Under Advanced, leave Status as Draft.
  2. Select Create.
  3. Confirm the success message says Created the event.
  4. Open the event from Manage events and review Details.
  5. Select Edit, then use Preview to inspect the customer-facing page without changing the event state.

6. Publish the event

  1. Return to Edit.
  2. Under Advanced, change Status to Published.
  3. Select Save.
  4. If venue or timing changes trigger Notify attendees about changes?, choose Yes, notify attendees or No, don't send notifications deliberately. The event has already been saved when this choice appears.

Success check

The event appears under Upcoming events when its status is Published and its date is upcoming. Its direct page shows the intended public details, and Manage events shows its correct status and organization.

Troubleshooting

  • Fix the highlighted fields means the save was refused. Follow the page to the first invalid field and complete every required value.
  • A URL slug can be rejected when the same organization already uses it or retains it as a redirect. Choose a different stable slug.
  • If Create event is missing, verify that you are a member of the organization in the current URL.
  • A Hidden event is not listed but remains accessible by direct link. Use Draft when the event must not be public.
