Events permissions and states
Reference Events route permissions, publication states, registration lifecycle, invitations, Meet outreach, and visibility controls.
Events applies route authorization, event publication state, attendee state, and display settings independently.
Route and role permissions
| Persona | Available actions |
|---|---|
| Anonymous visitor | Browse published events, open published or hidden event links, and select Register to sign in. |
| Signed-in visitor or attendee | Register, view their registration state, cancel a pending or accepted registration before the event ends, use attendee-only content when eligible, and select Invite a friend when the event’s invitation policy admits them. |
| Organization member | Create events for the organization and manage every event it owns. Organization members can also assign Managers. |
| Direct manager | Manage the assigned event, including its details and registration workflow. Direct management does not grant permission to create other events or manage the owning organization’s manager roster. |
/{organization-slug}/manage lists every event the account can manage, even outside the organization named in the URL; it redirects when the account has no manageable event anywhere. Administrative routes under /{organization-slug}/{event-slug}/admin require an owning-organization membership or direct manager assignment. /{organization-slug}/new and /{organization-slug}/{event-slug}/admin/managers require an organization membership.
Event publication states
| State | Organization list | Direct event link | Manager access |
|---|---|---|---|
| Draft | Not listed | Returns not found for other visitors | Available |
| Published | Listed when its date belongs in Upcoming or Past | Available | Available |
| Hidden | Not listed | Available to anyone with the link | Available |
Hidden is an unlisted state, not a privacy boundary. Do not put confidential information on a hidden event page.
Date modes and the ended state
| Event date choice | Required values | Ended behavior |
|---|---|---|
| Exact date | Start, end, and event location timezone | Ends after the configured end time in that timezone. |
| Exact date, time to be announced | Date | Remains upcoming until an exact time is configured. |
| To be announced | Month and year | Remains upcoming until an exact date and time are configured. |
After an exact-date event ends, registration is disabled with This event is already over and the invitation form says This event is already over. You can no longer invite friends to join.
Registration states
| State | Attendee-facing result | Available recovery |
|---|---|---|
| Pending | Waiting for confirmation from the host. | Attendee may cancel before the event ends; manager may accept, reject, or assign an evaluator. |
| Under evaluation | Same waiting state | Assigned evaluator or authorized manager decides; removing or resetting the evaluator returns the registration to Pending. |
| Accepted | You're in! | Attendee may cancel before the event ends; manager may change the state. |
| Rejected | Thank you for your interest! | There is no attendee reapply control while the row remains Rejected. Status reset returns it to Pending; Mark as cancelled makes Register available so the attendee can return it to Pending before the event ends. |
| Cancelled | Register becomes available again | Selecting Register returns the same attendance to Pending. |
Meet status and attendee invitations
The attendee administration route is available to an owning-organization member or direct manager of that Event. This Events permission is separate from the account-scoped Meet workspace and does not require the manager to have a completed Meet profile. An attendance ID from another Event is rejected by the Event-scoped lookup. The admin column and invitation action do not depend on Show Meet profiles to attendees?; that setting controls attendee-facing profile visibility instead.
The attendee browser shows Meet by default:
| Value | Meaning |
|---|---|
| On Meet | The attendee has a completed Meet profile. This value wins when an older invitation timestamp also exists. |
| Not on Meet | The attendee has no completed profile. A missing profile and an incomplete profile have the same value. |
| Invited today, Invited 1 day ago, or Invited {N} days ago | The relative age of the latest recorded invitation. This value appears only after delivery returns successfully and the timestamp write also succeeds. |
Saved nonempty attendee-column layouts that predate the column receive Meet once. When Status is present, Meet is inserted immediately after it; otherwise it is appended. Empty or missing layouts continue to use the defaults, and a layout that already includes Meet is not duplicated. If a manager removes Meet later, that choice is respected and the migration does not re-add it. The column is display-only: the browser has no Meet-status filter.
Invite to Meet is available only when the profile is not complete and the registration is Pending, Under evaluation, or Accepted. A Rejected or Cancelled registration cannot receive it. On click, Events checks both conditions again, delivers the email, and only then writes the invitation time. When delivery and the timestamp write both succeed, the latest recorded invitation time replaces the older value. A delivery failure does not write the timestamp, but a timestamp-write failure can happen after delivery and leave the older value in place even though the email may have gone out. The column is therefore not an exhaustive delivery history. Events provides no resend cooldown, invitation history, Meet-status filter, or Event messaging-log entry.
Invitation modes
The Allow users to send invitations? setting has four modes:
- Allow accepted attendees to send invitations requires an Accepted registration.
- Allow manually selected attendees to send invitations requires an Accepted registration plus an explicit invitation-right grant.
- Allow everyone to send invitations allows any signed-in user on the event page.
- Don't allow sending invitations removes the action and rejects direct invite-panel access.
Allow everyone to send invitations lets any signed-in visitor supply recipient addresses and editable subject and message content. Use it only when that open invitation boundary is deliberate. Otherwise, prefer the accepted-attendee or manually selected mode and review Event messaging logs for unexpected invitation activity.
Invitation sending ends when an exact-date event is over. The invitation panel may still open, but it replaces the form with This event is already over. You can no longer invite friends to join.
Visibility settings
- Show location to can reveal the exact venue to everyone or confirmed attendees only.
- Show attendance list? can show attendees to accepted attendees, everyone, or nobody.
- Show agenda page can hide the agenda, show it to confirmed attendees, or show it to everyone.
- Show speakers page? and Show gallery? control their corresponding event tabs.
- Show Meet profiles to attendees? applies only when the viewer can also see the attendee list and is signed in.
Signup target
Signup target is an internal measurement field. Reaching it does not close registration, reject a request, or enforce capacity. Use attendee decisions and event communication to control attendance.
