Troubleshoot Forms

Diagnose missing access, disabled share actions, publish failures, response-count differences, and file-answer problems.

Start with the organization in the URL, then check permission, form state, response settings, and the specific response record.

The Forms list opens but editing is denied

An organization member can view the list, but form-management actions require organization-admin permission.

  1. Confirm the URL contains the intended organization slug.
  2. Confirm your membership is active in that organization.
  3. Ask an organization admin to perform the change or update your role through the approved membership process.

Share is disabled or missing

  • A Draft must be published first.
  • A Closed form no longer accepts responses.
  • An event-owned form is reached through its event and does not expose the generic Forms share link.
  • Revealing a share link requires form-management permission.

Do not work around these states by reconstructing a respondent URL.

Publishing does not complete

  1. Confirm that the form is still Draft. Only a draft can be published; another state returns Only a draft form can be published.
  2. Confirm that you are an organization admin in the organization shown in the URL.
  3. Save Basics, Settings, and any open section or question editor.
  4. Reopen Preview and check the question prompts, options, conditions, and required markers. This is a content-quality check; Publish itself does not validate those details.
  5. Select Publish again and note the exact flash message.

A respondent reports that the form is unavailable

Check whether the form is Published rather than Draft or Closed, and whether Only available to signed-in Infra One users is enabled. Then confirm that the person used the intended open or recipient-specific link. Never ask them to paste a live token into an ordinary support channel.

The response total looks too low

Only completed submissions appear in administrative response views. A person may have opened the form or saved progress without submitting it. Compare Summary, Individual, and the CSV export before concluding data is missing.

An answer is blank

The question may have been optional or hidden by Show this question only when… logic. Inspect the form definition and the preceding answer that controlled visibility.

A file answer cannot be downloaded

Confirm your session, organization slug, and form-management permission. File downloads are checked against the form and response rather than trusting the URL. If the problem remains, record the form title, response submission time, question label, and error—never the respondent token or private file contents.
