How-toContacts

Run Contacts workflows

Source a sell-side Opportunity, organize contacts in groups, record affiliations and tasks, and configure Kanban fields.

These workflows turn individual contact records into a useful CRM: source and qualify a sell-side Opportunity, group the right audience, connect people to organizations, assign follow-up, and expose a controlled field to Kanban.

Before you begin

You need access to the intended organization and reviewed synthetic or authorized contact data. Organization members can work with contacts, groups, and tasks. To create an Opportunity, you must be able to write the target group: groups under Shared groups are writable by every reader, while a group under Private groups requires its owner or a member with Read and write access. Organization-admin access is required for custom fields and relationship-type settings.

Create and share a group

  1. Open Shared groups for an organization-wide list, or Private groups for restricted access.
  2. Select Create group.
  3. In New group, enter the Group name.
  4. Select Create group.
  5. Open the group, select Add contact, and search for the people or organizations to include.

For a private group, the owner can select Manage user access, then Add team member. Choose Read only when the member should inspect the group, or Read and write when they should change its contacts and group content.

To make an owned private group organization-wide, use Turn into shared group and read the confirmation. This is one-way: every organization member gains read and write access, and the former private grants are removed because they are no longer needed.

Group success check

The group appears in the intended Shared groups or Private groups list, and its contact count and access list match the plan.

Source and qualify a sell-side Opportunity

Contacts Opportunities track a person or organization you are qualifying to invest in your fund or buy an active catalog product. This is the sell-side CRM workflow. Dealflow is the separate buy-side workflow for investments your team evaluates; creating a Contacts Opportunity does not create or change a Dealflow deal.

  1. Replace your-organization-slug and GROUP_ID in https://contacts.infra.one/your-organization-slug/groups/GROUP_ID?layout=kanban with the intended organization slug and group ID, then open the resulting exact URL and confirm that this is the intended sourcing group.
  2. Confirm you have write access to the group. Contacts checks your group write access when you open Add opportunity and checks it again when you select Create opportunity. If access is missing or was removed in between, Contacts reports You are not authorized to edit this group and creates nothing.
  3. Find the intended person or organization. Open its row or card actions and select Add opportunity. In table view, an empty Opportunity cell can expose the same Add opportunity action.
  4. For a person, answer Who is investing or buying? Choose that the person is investing or buying personally, or choose an affiliated organization that is investing or buying. A current or unclassified affiliation without an end date merely adds the organization as a candidate option; an affiliation never decides or establishes buyer or investor capacity. Choose the person or an organization explicitly. Choosing an organization makes it the counterparty and retains the person as its primary contact; choosing personal capacity keeps the person as the counterparty. An organization contact is used directly without this capacity question.
  5. In New opportunity, select exactly one required Subject: an active/open fund under Funds, or an active catalog product under Products. Only subscribable funds in the active_open state and active, non-retired products appear. An Opportunity cannot combine a fund and a product. If neither is available, Contacts reports Cannot create an opportunity. The organization has no subscribable funds or active products.
  6. Optionally enter Amount, Probability (%), and Expected close. Complete any Opportunity fields shown for creation; configured fields can be required. The amount uses the selected subject’s currency.
  7. Review the counterparty and subject, then select Create opportunity.

Opportunity success check

Contacts reports Created the opportunity and the new board card appears. When the chosen counterparty already sits in a column on this board, the card starts in that same current board column; otherwise it starts in the no-status column.

Contacts commits the Opportunity record, board card, initial custom-field values, and opportunity_created event in one transaction. If any write fails, it leaves no partial Opportunity, card, or event.

Review a later investment match

Later investment matching is separate from Opportunity creation. When an investment is later created, signed, or executed, matching considers only an open, unarchived fund Opportunity for the same subject fund. A product-subject Opportunity does not receive an investment match.

  • A related-user match between the counterparty and investment account is automatically system-confirmed.
  • A case-insensitive email match against the counterparty’s primary or other email address is only a suggestion and requires a human to confirm it. Open the contact’s Opportunities tab and review Signed <amount> in <fund> — link and move to committed?. Select Link investment to confirm it and move the card to the board’s first committed column when one exists. Contacts reports Linked the investment.
  • Select Dismiss to reject a suggestion. Contacts reports Dismissed the suggestion. That decision is a persistent tombstone, so later matching never resurrects or re-proposes it.

Record an affiliation

  1. Open a person or organization contact.
  2. In the affiliation section, select Add affiliation.
  3. Choose the related Organization for a person, or Person for an organization.
  4. Choose Role type, then optionally enter Title.
  5. Set Status to Current, Former, or Unclassified.
  6. Add Start date and End date when known.
  7. Select Save affiliation.

Use Set as primary only for a current Employment affiliation without an end date when it should be the main connection. Use End affiliation to move a current relationship into history rather than deleting the evidence.

Affiliation success check

The connection appears under Current and unclassified or History on both sides of the contact relationship, with Primary shown only where selected.

Create a follow-up task

  1. Open Tasks, then select New task.
  2. Enter Task name.
  3. Select the required Contact.
  4. Optionally add Description, Priority, Due date, and Assignee.
  5. Select Create task.
  6. Use Complete when the follow-up is finished, or Reopen if more work is needed.

Task success check

The task appears in My tasks for its assignee and in All tasks for the organization, with the expected contact and due date.

Enable a custom field for Kanban grouping

  1. As an organization admin, open https://contacts.infra.one/your-organization-slug/settings/custom-fields/people.
  2. Select Add custom field.
  3. Enter Name and, where offered, choose Group scope and Contact type.
  4. Choose a single-value Type of select, priority, boolean, or user.
  5. Leave Allow multiple values off.
  6. Enable Allow Kanban grouping.
  7. Select Save.
  8. Open the target group, switch to its Kanban layout, and open Group cards by.
  9. Select the new field.

The Kanban option is intentionally unavailable for multi-value fields and unsupported types. A field’s type and group scope cannot be changed after creation.

Kanban-field success check

The field’s Details panel shows Allow Kanban grouping as Enabled, and the field appears under Group cards by for a compatible Contacts group.

Troubleshooting

If Add opportunity is missing, confirm that you can write the group. A private-group Read only grant does not permit Opportunity creation. If the subject list is empty, the organization needs an active/open fund or active catalog product before you can create an Opportunity.

If an affiliated organization is not offered under Who is investing or buying?, confirm that the person has a current or unclassified affiliation without an end date. Do not treat an affiliation as the capacity decision; select the legal or economic counterparty explicitly.

If an investment match is missing, confirm that the Opportunity is open, unarchived, and uses the same fund as the investment. Product-subject, closed, archived, and other-fund Opportunities do not match. An email-only match remains pending until a human selects Link investment, while Dismiss permanently suppresses that exact suggestion.

If a private-group action is missing, confirm who owns the group and whether your grant is Read only or Read and write. If Allow Kanban grouping is missing, check the field type and turn off Allow multiple values before saving. Use Troubleshoot Contacts for stale records and merge issues.
