Troubleshoot Expenses
Resolve Expenses access, submission, purchase-order matching, approval, and Receipt finder problems.
Expenses returns not found
Confirm that you are signed in, belong to the organization in the URL, and have an organization-level or per-user expenses_access rollout. Access is rechecked while the signed-in workspace is running.
A record will not submit
Check the requirements for that record type:
- a vendor invoice needs entity, currency, supplier, invoice number, issue and due dates, and at least one line item;
- a purchase order needs entity, currency, supplier, PO number, order date, and at least one line item;
- a single expense needs entity, currency, merchant, expense date, and a positive amount.
Also confirm that a due date is not before its issue date and a delivery date is not before its order date.
A purchase order will not match
For a vendor invoice, enter the exact PO number, then select Match. The purchase order must exist in the same organization and be Approved. A draft, submitted, rejected, or revision-state purchase order is not eligible.
For a single expense, the current match control does not complete the purchase-order link. Use the vendor-invoice workflow or follow your organization’s approved recovery process rather than repeatedly selecting Match.
Fields or actions are disabled
Only the creator can edit a new, Draft, or For revision record. A submitted record is read-only for its creator. An evaluator can decide a Submitted record only when they are a different organization member.
Reject or Send back cannot be confirmed
Enter the required Reason. An approval note is optional, but rejection and revision requests require an explanation.
Receipt finder is missing
Receipt finder requires the administrator-only receipt-management capability in addition to ordinary Expenses access. Ask an organization admin to confirm your role. Do not share mailbox credentials or accounting files as a workaround.
A receipt candidate is not visible
Only the administrator who created a Receipt finder batch can inspect that batch’s candidate email body. Open the correct batch with the same account. If another administrator must take over, follow your organization’s approved data-handling process rather than copying email content.
