Data rooms

Organize due-diligence content, assemble spaces, and control how files are requested and shared.

Data rooms separates reusable source material from the controlled experiences shared with a counterparty. Store and maintain files under Content, assemble a curated Space, then decide whether to share with a link, a group, or teammates.

Content and spaces

Content is the organization’s library. It has two roots:

  • Team folders are available to teammates with organization access.
  • Personal folders are available only to their owner unless their content is deliberately shared through another workflow.

A Space is a selected set of files and folders behind one sharing boundary. My spaces lists spaces you own. Team spaces lists spaces you own or where you are an explicit collaborator. A space can contain folders, sections, uploaded files, items from the content library, and file requests.

Creating a space immediately creates an Untitled record with Home and Archive folders. Rename and configure it before sharing.

Controlled sharing

The Share action offers:

  • Share with a link for a configurable direct URL;
  • Share with a group when access should be managed as an invited audience;
  • Share with teammates to add internal collaborators.

A direct link can add password protection, require an NDA or other agreement, allow downloads, expire at a chosen time, and show a welcome message or display name. Creating a link does not remove the space-level availability control: a space without a share link cannot be made visible to others.

External visitor authentication, verification, NDA, signing, and download behavior belongs to the recipient journey. Test that journey with a dedicated counterparty persona rather than assuming the owner’s preview is equivalent.

File requests

A file request sends a controlled upload destination without exposing the surrounding library. The creator chooses the destination folder, title, visitor message, optional expiry, and whether login is required.

Without required login, an anonymous visitor must still provide Name and Email before the upload surface appears. An expired or unknown request does not expose its former destination.

Start using Data rooms

Follow Organize content to prepare the library. Then use Run Data room workflows to assemble and share a space or create a file request. Read Data room permissions and states before assigning collaborator roles or changing visibility.
