How-toLedger

Set up a Ledger book

Create a book of account, confirm its fixed accounting settings, add book members, and prepare the chart and first fiscal period.

This guide creates the accounting boundary your team will use for entries, periods, and reports. At the end, the book has the correct entity and accounting settings and is ready for controlled journal work.

Before you begin

You need:

  • Ledger enabled for your account;
  • access to the intended organization;
  • permission to manage books, either as an organization administrator or as Fund Controller or Admin on an existing book in the same organization;
  • the legal entity, jurisdiction, functional currency, and decimal precision for the book;
  • an agreed chart of accounts and fiscal calendar.

Choose the entity, jurisdiction, currency, and decimal places carefully. Ledger fixes those accounting attributes when the book is created. A later change requires a new book rather than an edit.

Create the book

  1. Open https://ledger.infra.one/your-organization-slug.
  2. Select Books, then Add book of account.
  3. In Create books of account, enter a Name and select the Entity.
  4. Optionally enter a Description.
  5. Select the Jurisdiction and Currency.
  6. Set Decimal places.
  7. Choose the initial Status.
  8. Review Date format and Number format.
  9. Optionally add Tags.
  10. Select Save.

Confirm the fixed settings

Open the new book and confirm the entity, jurisdiction, currency, and decimal places before recording activity. You can later edit the descriptive fields shown in Book settings, including name, description, status, date format, and number format, but not the core accounting boundary.

Prepare controlled access

Organization membership already provides Viewer access to the organization’s books. Assign an explicit higher book role only when the person needs additional accounting actions:

  • Fund Accountant for posting, importing, exporting, and period-close work;
  • Fund Controller for reversing or voiding posted entries, period and VAT administration, close-template changes, and reopening;
  • Admin for complete book administration.

Organization administrators retain organization-level authority. Book roles govern the day-to-day accounting actions within each book.

To grant a higher role, a book Admin or organization administrator opens the book, selects Edit, opens the Members tab, selects Add member, searches for an organization member, chooses the book role, and selects Add. Do not add an explicit Viewer assignment merely to create read access; organization membership already provides the Viewer fallback.

Prepare the book for entries

  1. Open Accounts and add or import the approved chart of accounts.
  2. Confirm each account’s natural balance classification before relying on Account ledger totals.
  3. Add any required Subledgers, Classifications, and Transaction categories.
  4. Open Periods and confirm the fiscal periods used by the first journal entries.
  5. If your close process is standardized, prepare the checklist or close template before the first close.

Success check

The book appears under Books with the intended entity, jurisdiction, currency, precision, and status. An authorized book member can open the book, see the prepared accounts and periods, and reach Journal entries.

If the service, book, or setup controls are missing, use Troubleshoot Ledger. Before posting live activity, review Ledger permissions and states.
